How to Calculate Coaching Expiry Dates and Trigger 3-Day Reminders

In this video, I explained how I solved a client's request in GoHighLevel to automatically remind users when their 4-month coaching package is about to expire. Each client has a different purchase date, so the main challenge was calculating a personalized expiry date and sending a reminder 3 days before it ends.
To solve this:
– I set the workflow to trigger right after a coaching package purchase.
– I added a 117-day wait step (just 3 days before the 120-day validity).
– Then, I used a GPT action to calculate the exact expiry date by adding 3 days to the current date at that point.
– Based on the user's tag (indicating how many sessions are left), the system sends a personalized email reminder.
– The email includes the expiry date (from GPT) and a link to book any remaining coaching sessions.

Reminder Logic: Follow-Up for Qualified Leads Who Didn’t Book

The Problem:
After submitting the survey (which qualifies them), some users don't schedule their appointment. The challenge was to automatically follow up with these qualified leads and remind them to book.
The Solution:
– The workflow triggers when an Opportunity is created (after the survey is completed).
– A 15-minute wait step is added before checking their status.
– It checks if the user is still in the “Agent Survey” pipeline stage.
– If they are still in this stage, the workflow continues. If not, the workflow ends.
– Next, it checks if they have the External Appointment Tag (used for bookings outside the main calendar).
– If they have the tag, they're moved to the Booking Complete pipeline stage.
– If they don't, they're moved to a stage indicating they’re qualified but haven’t booked yet.
– The system then sends a reminder email and an SMS with a link to schedule their appointment.
